The Walton Centre Charity Information Notice

  • The Walton Centre Charity is registered in England and Wales with charity number 1050050. We are committed to protecting your privacy and will only use the information that we collect about you lawfully. This notice is intended to give you an understanding of how and why we use the information you give us.
  • This notice sets out how The Walton Centre Charity (‘we’, ‘us’ or ‘our’) will respect and keep safe any personal data that you share with us. It is our aim to be clear when we collect your data and not do anything with it that you wouldn’t reasonably expect.
  • We want to ensure that we only send marketing and promotional communications to those who have specifically stated that they are happy for us to do so. WHAT IS PERSONAL DATA?
Personal data is information that can be used to help identify an individual, such as name, address, phone number or email address.

We collect personal data in the following ways:
Information you give us directly
It may have been when you made a donation; signed up for one of our events, attended an event/activity and provided details at the event (such as raffles/auctions);  or you may have just asked us to put your details on our database to keep you up to date with our work.  Sometimes when you support us, your information is collected by an organisation working for us (e.g. when signing up to play our Lottery), but we are responsible for your data at all times.

Information you give us indirectly:
Your information may be shared with us through other fundraising sites such as JustGiving and GoFundMe. These independent third parties will only do so when you have indicated that you wish to support The Walton Centre Charity and with your consent.  

Social Media
Depending on your settings or the privacy policies for social media like Facebook, Twitter or Instagram, you might give us permission to access information from those accounts or services.

WHAT INFORMATION DO WE ASK FOR?
We will only ever collect the information we need, including data that will help us to improve our services and give you the best possible supporter experience.  If you make a donation, volunteer, register to fundraise or sign up for an event we will usually ask for:

  • your name
  • your contact details, including address, telephone and email
  • your bank or card details (when making a donation or payment – we will always ensure that this is done securely and accordance with the Payment Card Industry Data Security Standard. We don’t store your credit or debit card details following the completion of the transaction.  All card details and validation codes are securely destroyed once payment or donation has been made.  Only staff authorised and trained to process payments will be able to see your card details)

Where appropriate, we may also collect the following information:

  • whether you are over a certain age (example: if you are taking part in a challenge event)
    information relating to your health (example: again, related to specific events or if you                   
  • have asked us to share your story)
    why you’ve decided to donate

What do we use your personal data for?
We will mainly use your data to:

  • administer your donation, including processing gift aid
  • support you in your fundraising
  • to provide essential event information where you have signed up to take part
  • keep in touch about charity events/activities if you have indicated that you want us to
  • to ensure we know how you prefer to be contacted
  • to comply with applicable laws and regulations, and requests from statutory agencies
  • for our own administrative purposes, to keep a record of your relationship with us
  • including any feedback or complaints.

 

Building your supporter profile
We sometimes record information you give us to create a profile of your interests and preferences so that we can contact you about specific activities and events as appropriate (for example if you’re a keen golfer, runner or cyclist or have attended an event).

Direct marketing
With your consent, we will contact you to let you know about our latest appeals, events, and fundraising campaigns either by post or email. You can tell us how you want us to communicate, in a way that suits you and we will always include information on how to opt out when we send you such marketing, if you no longer want to hear from us.

Sharing your story
Lots of people choose to tell us about their experience of The Walton Centre and these stories often help inspire others to support the work we do. This may include some sensitive information about their health and family life among other information. We only use the information provided, including gender, ethnicity or the type of health condition affecting the person with the explicit consent of the individuals (or their parent or guardian if under 18). We might use this information when promoting the work of the hospital and the charity in the media, in printed materials, at events or online.

Children’s data
We will only store information about children if given explicit consent of their parent or guardian. We aim to manage this in a way which is appropriate to the age of the child.

Third Parties
We never sell or swap your data with third parties, but we may share your information with trusted service providers who we choose to authorise to act on our behalf, or whom we are planning to work with in partnership to fundraise on our behalf. For example, if you choose to participate in our Lottery, your information will be processed by the company who administer our Lottery.

We don’t currently use any mailing houses, marketing agencies or IT specialists but we may want to in the future. The kind of work we might then ask them to do could involve processing, packaging and delivering mail; or processing payments. We will only pass on personal data to them if they have signed a contract that requires them to :

  • abide by the Data Protection Legislation (GDPR)
  • comply with the Code of Fundraising Practice
  • treat your information as carefully as we would
  • only use the information for the purposes it was provided (not for their own or another organisation)
  • allow us to carry out checks to ensure they are doing all of these things.

We may disclose your personal data to third parties if we are under a duty to disclose your personal data in order to comply with any legal obligation (for example to government bodies and law enforcement agencies) or to protect The Walton Centre Charity, for example in cases of suspected fraud or defamation.

STORING YOUR INFORMATION
Your information is stored by us on a dedicated fundraising database accessed through computers located in the UK. 

We will ensure that your information is held in compliance with the European data protection regulations (GDPR). We will take all steps reasonably necessary to ensure that your data is kept secure and in accordance with this privacy policy.

We will store your information only for as long as we need it to operate the service in accordance with legal requirements and tax/accounting rules; as well as provide you with the information you have requested (communications on charity events/activities);.

YOUR ABILITLY TO EDIT AND DELETE YOUR ACCOUNT INFORMATION AND PREFERENCES
